Each line has a warehouse
On a sales invoice, a goods delivery note, a goods received note, a purchase invoice and the other stock documents, every product line has a Warehouse. That is the warehouse the goods leave or arrive in. Two lines of one invoice can use two warehouses.
Which warehouses are offered
| Your user | The Warehouse list shows |
|---|---|
| Has no warehouse mapped to it | Every warehouse of your branch |
| Is named in the User field of one or more warehouses | Only those warehouses of your branch |
| Is mapped, but not to any warehouse of the branch you work in | An error: "not allowed to work under this branch" |
The warehouses come from the User field on each warehouse (Warehouses (godowns)).
Which one is already chosen
A new line starts with a warehouse picked for you:
- when your company has one warehouse, that one;
- otherwise the first warehouse of your branch in the order they were created, if you may use it; otherwise the first in your list.
The warehouse marked Default warehouse does not decide this on the sales and purchase screens. Check the warehouse on every line, especially in a company with several warehouses.
Hiding or requiring the warehouse
In Entry control an administrator can make Warehouse required, or choose Hide warehouse to remove the column from the lines of the invoice (Entry control: which fields the sales screens show).
Common questions
The warehouse on my invoice is not the default one.
It starts with the first warehouse created in your branch (or the first of your list), whatever is marked default. Change it on the line.
A warehouse is missing from my list.
Your user is mapped to other warehouses only, or the warehouse belongs to another branch. Ask the administrator.
A product is missing for one warehouse.
The warehouse has a product list: Product mapping and warehouse mapping.
