Add a cost to a purchase with an add-on voucher

A purchase add-on voucher records an extra cost that belongs to a purchase already entered, such as freight paid to a transporter. It books the cost to a ledger you choose and, for an adjustment marked Stock valuation, adds it to the cost of the goods.

What it is

Sometimes a cost belongs to a purchase only after the invoice was entered: freight to the transporter, unloading, customs clearing. The Purchase add-on voucher (the screen is Purchase Additional) records that cost against the invoice without changing the invoice. The supplier's invoice and balance stay as they were; the extra cost is a separate voucher that names the invoice.

Open Purchase Additional (menu Purchase Entries). The list shows the Voucher no, Date, the Purchase invoice no, Invoice no, Supplier, Ledger, Reference no, Amount and the Adjustment.

Before you use it

At least one purchase adjustment of the category Additional must exist (Set up VAT, discounts and other purchase adjustments). Without it the save says: "Please set purchase additional adjustment policy." Give the adjustment a ledger (the cost account, for example freight in), and tick Stock valuation if the cost should become part of the cost of the goods.

Add a cost

  1. Open the invoice, then choose Purchase add-on voucher

    Where
Purchase invoice > the invoice > Purchase add-on voucher (or Purchase Additional > Add and find the invoice in Ref. bill no)
    What changes
Create purchase additional invoice opens with the invoice's supplier, products and currency.
  2. Fill the header
    What changes
Date, Project/Business Unit, Currency, Reference no (the transporter's bill number, up to 50 characters) and Party invoice date.
  3. Add the cost
    What changes
Bill wise extra adds a cost for the whole invoice; the product line's Adjustment adds a cost for one product. Choose the Adjustment, the Ledger to be credited (the transporter, or cash or bank when you paid at once) and the Adjustment amount.
    Needs
The adjustment's own ledger is debited, so the Ledger you choose must be a different one.
  4. Record a VAT bill, if the cost has one
    What changes
Where the adjustment is a VAT adjustment, Show on VAT register opens Invoice type, Product type, Party name, Bill no, Bill date, PAN, VAT and Taxable amount, so the transporter's VAT bill shows on the VAT purchase reports (The VAT purchase reports).
  5. Save
    What changes
    "Purchase additional (number) saved successfully."

The cost ledgerDebited with the amount: the cost is booked
The ledger you chose on the lineCredited: you owe the transporter, or the cash or bank account goes down
The supplier of the invoiceUnchanged: the invoice's balance does not move
StockWhere the adjustment is marked Stock valuation, the value of the goods on the invoice goes up by the cost
The invoiceNot edited; its Edit stays available unless a return exists

After saving

Edit works until the voucher is approved (where approval is on) or its year is locked; Delete until its year is locked, and an approved voucher is refused. A voucher posts at once even when approval is on; approving it only locks it (Approvals for purchases and vouchers).

Common questions

The transporter's VAT bill is not on the VAT purchase report.

Only a Bill wise extra on a VAT adjustment, with Show on VAT register on, reaches the VAT purchase reports. An extra added on a product line's Adjustment never does (The VAT purchase reports).
