A day as accountant

Check that yesterday's bills reached the IRD, receive and make payments, approve what waits for approval, fix the day's mistakes with returns and cancels, review credit and ageing, reconcile the bank, check the stock value, and keep the books ready for month end and year end.

For Accountant

  1. Check the IRD list

Open the Materialized view report for yesterday and today. Any Sync with IRD = No after an hour: press IRD data synchronization on the IRD API screen, and tell support if it stays No (The Materialized view report, How bills reach the IRD, and what to check when one does not).

  2. Receive payments

Record each customer payment against its invoices, or as an advance if no invoice is named (Receive money from a customer, What clears what in the customer's account).

  3. Fix a mistake

Same-day invoice, cancel feature on: Cancel it with a reason. Older, or IRD on: make a sales return, then a new invoice. If the cancelled invoice was a cash sale, deal with its receipt (Cancel an invoice, Take goods back with a sales return).

  4. Approve

Approve sales orders and provisional returns, and purchase documents, vouchers and cheques, where you are the approver: an unapproved voucher is not yet in the ledgers (Take a sales order, Provisional sales return, approved later, Approvals for purchases and vouchers).

  5. Pay suppliers

Pay the bills that are due with a Payment voucher, against the invoice, and check the supplier's statement (Pay a supplier and what clears what, A supplier's statement and balance).

  6. Add an extra charge

A Sales add-on voucher on an invoice for a cost or charge that came later (Add a charge or cost to an invoice (sales add-on voucher)).

  7. A customer is blocked

Check the customer's balance and overdue bills; take the payment or raise the limit on the customer (Credit limit and credit days on sales screens, Create a customer).

  8. Compare

The day's Sales Invoice Summary Report against the day book, and the IRD list (The sales register and sales reports).

  9. Collections and payables

Customer ageing details and the Outstanding Summary Report: who is late, who is over the limit. Supplier ageing: what you owe and when (Who owes us: outstanding and ageing, What we owe: outstanding and supplier ageing).

  10. Bank

Reconcile each bank account with its statement (Reconcile a bank account with its statement).

  11. Cheques due

Filter the Cheque list on Is valid for deposit and see that the cashier deposits them; check that every Deposit Cancel left no receipt behind (Record and deposit cheques).

  12. VAT and TDS

The VAT Sales Summary Report and the VAT Purchase reports for the VAT period, with returns and cancels, and the TDS report for the TDS you held back (The VAT sales reports, The VAT purchase reports, TDS report).

  13. Depreciation

Post the period's depreciation with a journal voucher: nothing posts it for you (Depreciate fixed assets).

  14. Check the books

The Trial Balance: debit and credit totals equal; journal vouchers for adjustments (Check the books with trial balance and ledger reports, Make adjustments with a journal voucher).

  15. Stock

Compare the value on Stock summary (report type Stock valuation (summary)) with the Balance Sheet and Profit and Loss with Include closing stock. Review the Stock adjustment summary for losses, and ask the branches to receive any branch stock out still on the road (Stock valuation: what your stock is worth, Closing stock in the profit and loss, the balance sheet and the year end, Stock adjustment, stock transfer and expiry/breakage summaries, Send stock to another branch). Approve the production journals that are waiting (Production journal: record production and approve it).

  16. Close the year

Follow the checklist: finish entries, depreciation, bank reconciliation, the stock count, reports, then close and lock (Year-end checklist, Count the stock and correct the differences, Close a fiscal year).

  17. Prepare

Next year's fiscal year, numbering series and IRD name (Start a new fiscal year).

Before you start

  • Today falls in the active fiscal year and the Add buttons are there. If every screen says the financial year "has already been closed", the active year starts in the future (The fiscal year).
  • Where purchase invoices need approval, the purchase register and the VAT purchase reports already show an invoice that is waiting, while the ledger and the supplier's balance do not. If the two differ by one invoice, look for an unapproved one (Approvals for purchases and vouchers).
