Lock a product

Locking a product keeps it off sales and purchase documents without deleting it or its stock history. A locked product also disappears from the Stock status report, but its stock still counts in the Stock summary.

What locking does

A locked product:

  • is no longer offered when you pick a product on a sales or purchase line, a transfer or an adjustment;
  • keeps its stock entries, its balance and its history;
  • is left out of the Stock status report and the Stock Analysis Report, but still appears on Stock summary (Stock status).

Use it for a product you no longer sell but cannot delete because it has stock entries (Products: what the stock side needs from a product).

Common questions

A product vanished from the invoice.

It is locked, or marked for the other side (purchase only, sales only), or not in the chosen warehouse: Why a product is not offered on a document.

A product vanished from Stock status but it is in Stock summary.

Stock status leaves locked products out. Unlock the product to see it there.

Can a locked product be sold?

Not from a normal document screen. Unlock it first.

Does a locked product still count in the closing stock?

Yes. Its stock is still in Stock summary and in the closing stock of the Profit and Loss and the Balance Sheet. Locking changes what documents offer, not what you own (Closing stock in the profit and loss, the balance sheet and the year end).

We locked a product and then found 3 damaged units. How do we write them off?

A locked product is not offered on an adjustment either. Unlock it, make the Stock adjustment with the reason Damage, then lock it again (Adjust stock: counts, damage, expiry and write-offs).

Can I move a locked product to another warehouse?

Not while it is locked: a transfer does not offer it. Unlock it, make the Stock Transfer, and lock it again (Move stock between warehouses with a stock transfer).
