Create a supplier

A supplier is a ledger kept under Sundry creditors. Give it a name, a PAN or the choice None, a supplier type if you deduct TDS, and the credit terms. Purchase screens do not check the credit terms in this release.

Where suppliers live

Open Supplier (menu Chart of Accounts › Supplier). The list shows each supplier with its ledger code, group, PAN, mobile, credit limit, Net balance, Active and the GL lock. Opening a supplier shows Supplier - name with its quotations, orders, goods received notes, invoices, returns, add-on vouchers, transactions and Due status (A supplier's statement and balance).

A supplier is a ledger under Sundry creditors. A supplier made while buying (the + beside the supplier field on a purchase screen) is the same thing.

Create a supplier

  1. Open Supplier and choose Add
    Who
Accountant, or a purchase clerk with permission
    Where
Supplier > Add > Detail (the form is Add supplier ledger)
    What changes
The form has the sections Basic information, Business information, Credit settings, Opening information and Ledger accessibility.
  2. Fill Basic information
    Who
    Accountant
    What changes
Name, Ledger code, Account groups (it starts on Sundry creditors), Agent, Supplier group and Supplier type. When you leave the Name field the system proposes a code in Ledger code; type your own over it if you keep your own codes, and a supplier saved with the field empty gets the proposed code. Tick Also a customer if the same party buys from you, Cash selling supplier if you always pay it on the spot, and LC party for the foreign agent you import through.
  3. Choose the PAN type and enter the PAN
    What changes
Choose PAN or VAT and enter the number, or choose NONE for a supplier with no PAN. The supplier's PAN comes onto the VAT purchase reports (The VAT purchase reports).
    Needs
A second supplier cannot reuse a PAN.
  4. Fill Business information
    What changes
Contact Person, Area, Project/Business Unit, Country, City, Address, Telephone, Email, Mobile Phone and Home phone.
  5. Set Credit settings
    What changes
Amount limit, Amount limit actions, Day limit, Day limit actions and Interest rate. The Day limit also fills Due day on a new purchase invoice. Nothing blocks a purchase for going over the limit.
  6. Add the Opening information if you already owe the supplier
    What changes
An Opening amount and its type (credit means you owe the supplier). See Suppliers' opening balances.
  7. Check Ledger accessibility
    What changes
GL lock stops entries on the ledger, Active switches it on or off, Loyalty applicable and Has subledger are for the cases they say.
  8. Save
    What changes
The supplier is available on every purchase and voucher screen.

Supplier type and TDS

The Supplier type (Personal, Private, Proprietorship or Limited) and the PAN type decide which TDS rate applies when you deduct tax at source from this supplier: see Set up TDS and Deduct TDS when you book or pay an expense. Fill them for any supplier you deduct TDS from.

Rules the save checks

  • The Ledger code cannot repeat.
  • The PAN cannot repeat among suppliers.
  • The system's own short code for the supplier cannot repeat.
  • The same mobile number cannot be saved twice with the same name.
  • An Opening amount needs a numbering series for opening balances: without one the save is refused.
  • An opening amount needs its type (credit or debit). Choose it, or clear the amount.

Quick add and import

Add offers Detail (the full form above), Quick (a short form) and Import, which fills the list from a spreadsheet, as it does on the customer screen (Create a customer).
