On this page

From the supplier's page

Open Supplier, then a supplier. The page is titled Supplier - name. At the top it shows Total purchase, Paid amount, Total return, and the Debit or Credit balance (and Total sales if the supplier is also a customer), with two cards that compare Purchase from and Payment from over time. Below are tabs:

TabShows
Ledger detailsThe supplier's account, entry by entry
Quotation, Order, GRN, Invoice, ReturnThe supplier's purchase documents, each as a list, with tiles such as Total purchase quotation, Outstanding quotation, Total outstanding order, Total outstanding GRN and Total returned invoices
Purchase add-on voucherThe extra costs tied to this supplier's invoices
TransactionsThe payments made to the supplier
Due statusThe unpaid invoices with the Transaction amount, Adjusted, Balance, Due date and Due day, as of a date you choose (Pay a supplier and what clears what)
Due status (Voucher wise)The same, voucher by voucher
CommentsNotes on the supplier

The supplier list also shows each supplier's Net balance. A supplier you owe has a Credit balance. The Due status tab matches money to the oldest invoice first, so it can differ from the invoice list: Pay a supplier and what clears what.

From the list the report links open the Register, Day book, Ledger report, Journal book and the voucher lists (Payment voucher, Journal voucher, Contra voucher, Credit note, Debit note).

Party Ledger Summary

The Party Ledger Summary lists every supplier (or any party) for a period, with:

ColumnMeaning
Opening debit, Opening creditWhat you owed, or were owed, when the period started
Periodic debit, Periodic creditThe purchases and returns and the payments in the period
Balance debit, Balance creditThe result at the end of the period

Filters are From date, Agent, Area, Party and Account group: choose the group for suppliers (Sundry creditors) to list only them. A supplier you owe has a Balance credit.

A printable statement

Customer / Vendor Ledger is a form with From date, To date, Branch, the report category and Group by, the suppliers to include and the report type, with a With PDC option to include cheques. It gives a statement you can print and send to the supplier (A customer's statement and balance describes the form).

Reading a statement

  • A credit is something you owe the supplier: an invoice, an add-on cost, a credit note. A debit reduces it: a payment, a return or a debit note.
  • The balance is the running difference and is the same number as on the supplier list.
  • Money paid as an advance is a debit on the statement even though no invoice is marked paid.
  • An invoice waiting for approval is not in the statement until it is approved (Approvals for purchases and vouchers).
