Batch wise products
Tick Batch wise on a product (before it is first used) to track it by batch: a lot that came in together, such as one delivery of medicine or paint.
| Where | What is asked |
|---|---|
| A goods received note, purchase invoice or Product Opening | Batch no, Manufacturing date, Expiry date and the QTY of each batch, with its rate ("Click to enter batch details") |
| A sale, a goods delivery note or a purchase return | Which batch the goods come from: Add/Edit batch info lists the batches with stock, with their Stock QTY |
| A stock adjustment, a transfer, a production journal | The batch again, so the batch balances stay right |
A batch-wise line without its batch details is refused: "Please provide batch no details of product". In production: "Please enter batch details for batch wise raw material" and "Please enter batch info for batch wise finished goods".
Each batch can have its own buy rate, sales rate and MRP. A batch sales rate below its purchase rate asks you to confirm ("The batch sales rate is lower than the purchase rate for this product. Do you want to save this rate?").
Seeing stock by batch
On Stock summary tick Include batch data: each product then shows its batches with Batch no, Manufacturing date, Expiry date and the quantity and value of each (Stock summary).
Expiry date
The expiry date is a record. It is kept on the batch and shown on the stock report, but no screen compares it with today, so Penahak does not stop an expired batch from being sold or moved. To take expired goods out, use a Stock adjustment with the reason Expiry (Adjust stock: counts, damage, expiry and write-offs), or an Expiry/Breakage return when a customer returns them (Take goods back with a sales return).
Serial number products
Tick Serial number to give every unit its own number: a phone, a machine, a vehicle.
- On a goods received note or an opening you enter one number per unit in Serial no details. The number of serials cannot be more than the quantity: "You have entered more than allowed number of serial numbers." A repeated number is refused: "You have entered a duplicate serial number which is not allowed."
- Auto fill continues a series from the last number when it ends in digits ("Invalid serial number to auto generate next number" otherwise). Numbers can also be imported from a spreadsheet (Template, Upload).
- On a sale or a delivery note you choose the numbers in stock. A number that has already been sold is refused: Serial number "…" already used on sales process.
- On a purchase return a number that was never bought, or was already returned, is refused (Serial number "…" has not purchased yet; Serial number "…" already returned).
- A number you try to receive twice is refused: Serial number "…" duplicate in the database.
The Serial no Item Details report shows each number with the voucher it came in on, the voucher it left on and the party (Serial no Item Details).
