What it is
The full-page invoice entry is the sales invoice entered on a page of its own instead of a window on top of the list. It saves the same voucher as the standard Raise a sales invoice: the same numbering series, the same postings, stock, receipts and IRD sending. Only the entry is new. A saved invoice is read on the same view page as the standard screen, with the same Receipt, Return, Print and other buttons.
Open it from its menu entry; the page is titled Sales invoices.
What you see
- The list of invoices with filters, a summary and a New invoice button. Rows have Edit, Print (it asks "Print this invoice?" and, for an invoice already printed, "Print another copy?"), Copy to a new invoice and a link to the attached document. You can print several selected invoices at once.
- The editor: the header (number series, date, customer, due days, agent, project, reference voucher), a customer summary with the customer's balance and credit terms, the lines with stock, rate history and serial or batch entry, the totals with the adjustments, the payment panel, and More details such as export details and notes. An order or delivery notes can be pulled in as the source.
Checks next to the field
The editor lists problems beside the line or field they belong to. A problem that stops the save is marked as an error or a block; a warning lets you save.
| Check | Message |
|---|---|
| No number series chosen | Choose a number series |
| No date | Enter the invoice date |
| No customer | Choose a customer |
| A cash sale with no buyer name | Enter the party name |
| No lines | Add at least one line |
| A line with no product, a zero quantity or a negative rate | Choose a product, Quantity must be more than zero, Rate cannot be negative |
| Serial numbers or batches do not match the quantity | n serial numbers needed, m entered; Allocate a batch; Batches allocate n, line quantity is m |
| Stock is short | n more than the m in stock (a block or a warning, by the company's negative stock setting) |
| Over the credit limit | This invoice takes the balance to x, over the y credit limit |
| Credit days exceeded | n days exceeds the d day credit term; Oldest unpaid invoice is n days old, past the d day term |
| The payment is wrong | Enter the amount received; Amount received is more than the invoice total; Choose where it was deposited; Choose a receipt number series |
When the save succeeds the page says "Invoice number saved". If the system refuses, it shows its message, for example "The invoice could not be saved". Pulling in an order or delivery notes can also say "Nothing is left outstanding on what you selected."
