Edit, delete and approve a transfer or an adjustment

A transfer or an adjustment can be edited or deleted until it is approved (where approval is on), its year is locked, or, for a branch transfer, it has been received. Approval does not hold the stock back: the stock moved when you saved.

What editing does

Edit takes the old stock entries of the document out and writes the new ones in one step, so the stock follows the edited figures. You can change the lines, the quantities, the rates and the notes.

You seeMeaning
Edit is greyed outThe document is approved and approval is on for it, or its fiscal year is closed and locked, or (a transfer) the other branch has received it, or you lack the right
The date is refusedThe date is before the fiscal year starts (The fiscal year)

A saved document keeps its number.

What deleting does

Delete removes the document and its stock entries: the goods go back to where they were. For a transfer, the goods leave the receiving warehouse and return to the sending one.

A transfer that the other branch has received (Send stock to another branch) cannot be edited or deleted.

Approving

Approval is off for every document until the administrator switches it on for that kind (Approvals for purchases and vouchers). With it on for Stock Transfer or Stock adjustment, an approver sees Approve on the document's page and the box Data authorization asks for notes: "Data authorization saved successfully."

Approval here marks the document as checked and locks it against edit. It does not hold the stock: the goods moved when the document was saved.

The order of dates

A new transfer, adjustment or production journal cannot be dated earlier than one already made in the same branch. This keeps the order of stock entries the same as the order of the numbers. If something that happened in the past must be recorded, edit the existing document of that date, or ask your administrator or support how to proceed. Documents of the same date are not compared, and the rule is not applied when you edit a document, so an edit can move it to an earlier date: avoid that, it puts the stock entries out of order.

Opening stock

A Product Opening can be edited and deleted from its list. Deleting removes the stock it brought in, with no check that the goods are still there (Opening stock).

Common questions

I deleted an approved adjustment, the screen said it worked, and it is still in the list.

That is expected: an approved document is never deleted. Make a new document that reverses it.

Why is Edit greyed out?

The document is approved (with approval on), its year is closed and locked, the other branch has received it, or your role lacks the right. Correct it with a new document.

I deleted a transfer and now a warehouse shows minus stock.

The goods had already been sold or moved on from the warehouse they arrived in. Enter the document again, or move or adjust the stock to match what is really there (Negative stock: where Penahak checks it).

Who approved this transfer?

The list's Status shows whether it is approved; the activity log records who approved it and when.
