Raise a sales invoice

The invoice puts a sale into the books and takes the goods out of stock. Choose the customer, add the products, check the adjustments, take any payment, and save. The screen checks what it can before anything is recorded.

What the invoice does

Saving an invoice records the sale: the customer owes the total, sales income and VAT are booked, and the goods leave the warehouse. The full list of effects is in What a sale changes in the books. When your company has IRD on, the invoice is also queued to be sent to the IRD (How bills reach the IRD, and what to check when one does not).

Open Sales Invoice (menu Sales Entries › Invoice). The list shows the invoice number, the customer's own reference number, date, customer, amount, the amount still due and a Status.

Raise an invoice

  1. Choose Add
    Who
    Sales clerk
    Where
Sales Invoice > Add. With more than one numbering series for your branch, choose the series first.
    What changes
Create sales invoice opens. The invoice number is given when you save. No Add button means no numbering series: see Document numbering for sales.
  2. Choose the customer
    What changes
The customer's PAN, agent, area, credit terms and balance come in. Changing the customer afterwards clears the lines and receipt details, so nothing belongs to the wrong customer. The + beside the field adds a new customer.
  3. Set the date and the terms
    What changes
Date (today unless your company allows earlier), the Cash or Credit selector next to Due day, Agent, Currency, Project/Business Unit and Reference voucher (the customer's own bill number) where your company uses them. See Cash sales and credit sales.
    Needs
With IRD on, the date is always today. A currency other than local needs a rate for the day.
  4. Bring in an order or delivery notes, if any
    What changes
In Order no or GDN no, find what the customer ordered or what was delivered. The customer and lines come in, and the customer cannot be changed. See From quotation to order, delivery note and invoice.
  5. Add the product lines
    What changes
For each line choose the product, Warehouse, quantity and rate. The screen shows the stock balance and works out the amount. A line can carry its own Product adjustment, free quantity, serial numbers or batches.
    Needs
A quantity above 0 and a warehouse on every line. When the invoice comes from an order or delivery note, a line cannot be more than the referenced quantity.
  6. Check the adjustments
    What changes
VAT and discounts are worked out in their order and shown as Adjustment. See VAT, discounts and sales adjustments.
  7. Take a payment, if the customer pays now
    What changes
For a cash sale the receipt is made for you. For a part payment, choose Receipt details (Pay bill) and enter Deposited to, Receipt amount and the mode. The receipt cannot be more than the invoice total.
  8. Add notes and an attachment if you need them
    What changes
Notes (required if your company made it so) and a file such as the customer's purchase order.
  9. Save
    What changes
Save keeps the form open to make the next invoice, Save and close closes it, Save and print saves and prints. Press Update when you edit a saved one.

Common questions

There is no Add button.

No numbering series covers your branch in the active fiscal year, or your role cannot create invoices. See Document numbering for sales.

Add is greyed out and a message asks to set ledgers.

The administrator has not finished Configuration: see Company settings that change selling.

I chose another customer and my lines disappeared.

Changing the customer clears the lines and the receipt details on purpose, so nothing is billed to the wrong customer. Choose the customer first.

The customer pays part now and the rest later.

Keep the sale on Credit, and record the part paid with Receipt details (Pay bill). The rest is collected later with a receipt against the invoice (Receive money from a customer).

How do I bill an order or a delivery note?

Choose it in Order no or GDN no on a new invoice: see From quotation to order, delivery note and invoice.

The invoice needs a correction after saving.

See Editing a saved invoice: what can and cannot change: edit (IRD off), cancel the same day, or make a return.

Can I save an invoice dated tomorrow?

No. Future dates are not offered, and with IRD on the date is always today.
