Penahak now runs hotels, restaurants and retail on one ledger.
Penahak
Module

Hotel PMS software for Nepal

A hotel and homestay operating module wired directly into Penahak accounting. Hospitality owns operational state; the ERP owns financial truth — so occupancy reports and revenue reports finally agree.

The problem

Front desk to night audit to posted revenue.

Most hotels run a property system that does not post to their books, then reconcile the two by hand every month and quietly accept that they never quite match. Penahak Hospitality owns the hotel operation but never keeps its own set of books: at checkout, one folio produces exactly one invoice in the central ledger.

Who uses it

  • Front desk, who reserve, check in and out, and handle folios
  • Housekeeping, who own room readiness, minibar and lost property
  • Maintenance, who block and release rooms
  • Night auditor, who posts room charges and closes the business date
  • Accounts and owners, who need revenue, occupancy and city-ledger ageing to agree
How it works

The workflows you will actually use

Not a feature list — the sequences your team runs day to day.

A guest stay, end to end

  1. A reservation is created, with rate plan and any deposit due.
  2. The guest arrives; check-in captures KYC, assigns a clean room, takes the deposit and records key count.
  3. Charges accumulate on the folio: restaurant, minibar, laundry, transport.
  4. Night audit posts each night’s room charge to the folio and closes the business date.
  5. At checkout the balance is settled and the folio posts as one sales invoice.

Night audit

  1. Stage the daily room charge for every occupied room by business date and stay.
  2. Post those charges to the guests’ folios.
  3. Work the blocker list: arrivals that never checked in, open shifts, unposted charges.
  4. Waive only what genuinely warrants it — waivers are logged and appear in the audit pack.
  5. Close and advance the business date.

Billing a company

  1. Link the stay to the company or agent in the central party master.
  2. Route room and breakfast to the company folio, extras to the guest.
  3. The guest settles their own folio and leaves.
  4. The company folio posts to the city ledger as a receivable and appears in ageing.

Connected, not integrated

What it shares with the rest of the platform

These are not integrations between separate products. They are modules on one ledger, one party master and one product catalogue.

Accounting

Checkout creates one sales invoice per folio with its room nights, charges, service charge and VAT; payments are receipts on the same account, and a city-ledger balance moves by journal.

Restaurant POS

Outlet bills charge to the room folio, carrying the item, tax and outlet references.

Inventory

Minibar items charged to a folio leave the minibar store (else the main store) on the guest’s invoice.

Customer accounts

Companies and regular guests bill to their own customer accounts in Accounting; walk-ins share the hotel’s guest account.

Questions

About Hospitality & Hotel PMS

Each checkout carries a safe-retry reference built from the property, the business date and the stay. If it fails and is retried, the system returns the invoice it already created instead of raising a second one.

Yes: homestay is a property type. A walk-in is a booking saved and checked in at once; ID is asked only when the property requires it.

The folio is reopened as an approved, logged action, and the late charge results in a further document rather than an edit to the original invoice.
