Hospitality help

The hotel module of Penahak ERP: bookings, front desk, guest bills, cashiering, housekeeping, stock, events and the night audit, all kept in the same books as Penahak Accounting.

Penahak Hospitality runs a hotel, from a small guesthouse to a full-service property. Every payment, invoice and stock movement it makes lands in Penahak Accounting the moment it happens, so the hotel and the accounts never need to be matched by hand.

This help explains each job at the hotel in plain steps: where to click, what changes, and why a rule exists. Pick your role under Who does what, or start with the short path below.

Money works the same way everywhere: a deposit or payment becomes a receipt in Accounting, a refund becomes a payment, the guest's bill becomes a sales invoice, and a minibar item leaves the store. Invoices are IRD-ready and follow your company's IRD setting.

Who does what

Most-asked questions

Why can't I take a payment?

Payments are taken inside your own open cashier shift. Open it with your float on Payments (or the shift bar on the folio), then take the payment again. See Open and close a cashier shift.

Why is the guest's invoice not changing when I add a charge after check-out?

An invoice that is issued does not change. A charge found after the guest left gets its own small invoice: see Late charges after check-out.

Why does the screen ask for a manager?

Some actions (refunds, waivers, rate changes and others) need a manager's approval with their PIN, under the hotel's own rules. See Manager approvals and PINs.

The night audit will not close. What now?

Read the checklist: every cashier shift must be closed, and some setup problems must be fixed first. Other items can be closed with a manager-approved waiver. See Run the night audit and close the day.

Which payment methods can we take?

Cash, card on your card terminal, and bank transfer: the methods switched on in Hospitality configuration › Payment methods. See Payment methods (tenders).

Where do I see what a company owes us?

On Folios › City ledger, by age. Accounting and CRM show the same figure, because they read the same company account. See Company billing and the city ledger.

The date at the top is yesterday. Is something wrong?

The night audit has not closed yesterday yet. The night auditor runs it, and the date moves on. See Run the night audit and close the day.
