- Read the checklist
Night audit: pending arrivals, due-outs still in house, open shifts, room charges to post, open balances, housekeeping discrepancies (Run the night audit and close the day).
- Arrivals that did not come
For each pending arrival: no-show (with the policy's fee), move to tomorrow, or waive the fee with a manager (Cancellations and no-shows).
- Shifts
Every cashier of the day has counted and closed their shift; yours too (Open and close a cashier shift).
- Close the day
Close (date): room nights are posted, tomorrow's cleaning tasks are created, the pack is saved and the business date moves on.
- The pack
Print the Night-audit pack for the manager and the accountant.
- Late guests
Guests checking out after midnight are charged that night at check-out. Payments taken now belong to the new business date once the day is closed.
Before you start
- Every cashier knows the audit is coming. The day cannot close while a shift of the business date is open, and this cannot be waived (Open and close a cashier shift).
- Look at Pending arrivals: each one is checked in, marked no-show, moved to the next day, or marked no-show with the fee waived, which a manager approves (Cancellations and no-shows).
- Check the setup blockers that cannot be waived: a product with no sales ledger, the room service with no product, a missing tax policy. The message names what to fix (Run the night audit and close the day).
- Ask housekeeping about Sleepers and Skippers: they stop the close until they are resolved or waived (Room status and inspection).
End of the day
- The business date has moved on and the Night-audit pack is printed for the manager and the accountant (Run the night audit and close the day).
- Any waiver has its reason (Why the day closes anyway) and a manager's approval, and stays with that night's run on Past runs. What was waived is still to fix in the morning: a folio without its invoice still needs one.
- Nothing needs checking in Accounting for the close itself: it writes nothing there. Revenue is booked when each folio is invoiced (The business date and the night audit).
- A mistake found on the closed day is corrected on the new date; a manager reopens the day only when it must carry the old date (Reopen a closed business date).
