The guest profile
Guests lists every profile. A profile has the tabs Profile, Identity, Stays & folios and Activity:
- Profile: Title, Full name, Gender, Date of birth, Nationality, Country of residence, Mobile, Email, Language, Company, Guest ledger (the guest's own account, if they have one), VIP level, Data consent and notes;
- Identity: the identity documents with their expiry (expired and expiring soon are flagged);
- Stays & folios: every stay and its folios;
- Activity: what changed on the profile.
Search before you add a guest: the booking offers This may be a returning guest when a profile matches. One guest, one profile, keeps the history in one place.
Identity numbers
Identity numbers are stored protected and shown masked. A user allowed to see them uses Reveal number (and Hide number again); revealing is recorded.
The blacklist
Blacklist on the profile, with the Reason for the blacklist. A blacklisted guest is flagged at booking and check-in and needs a manager's approval to be accepted. Taking a guest off the list asks Why the guest comes off the blacklist.
The registers
- Form C (police) register: foreign nationals who stayed, with passport, visa and entry details, printed for the police (Reports, and the foreign guest register on Guests).
- Guest register (identity): every guest checked in, with the identity document.
- Blacklisted guests: guests refused at booking and check-in, with the reason and date.
Common questions
Who can see a guest's ID number?
Identity numbers are shown masked. A user allowed to see them presses Reveal number (and Hide number afterwards). Every reveal is recorded.
The booking says "This may be a returning guest".
A profile already matches the name, phone or email you typed. Use it instead of adding a second one: one guest, one profile keeps the history in one place.
"ID and passport numbers cannot be saved right now."
Save the profile without the number and contact support, as the message says.
"No full number is stored for this document."
The number was never stored for that document. Enter the number again to store it.
Which register do I print for the police?
The Form C (police) register lists the foreign guests who stayed, with their passport, visa and entry details. Print it from Reports, or from the foreign guest register on Guests.
