Check in a guest

Give each booked room a real room, register the guests, and open their folio. Not-ready rooms, upgrades and fee waivers ask a manager.

Before you start

  • The booking exists (or make a Walk-in: the booking form, saved and checked in at once).
  • A ready room of the booked type: Clean, or Inspected where the hotel inspects every room.
  • The guest's identity document, and for a foreign guest the passport, visa and entry details.

Identity and the police register

When the hotel's policy has Guest ID required on, check-in asks for the main guest's ID type and number. Guests whose nationality is not the hotel's country are foreign guests: with Foreign guest register on, they need nationality, passport, visa and entry details before check-in completes. The register is printed from Guests.

Common questions

The guest is here but no room is ready. What can I do?

Give a ready room of another type (see Another room type above), or ask housekeeping to finish one. If the guest accepts a room still being cleaned, choose Check in anyway with a reason; a manager approves.

Can I check in only some rooms of a booking?

Yes. Under Rooms, choose rooms for the guests who have arrived and leave the others empty. Check them in when they arrive.

Is the first night charged at check-in?

No. The night audit charges each night. Only an early check-in fee is charged at check-in.

Where do I print the registration card?

Registration card at the top of the Check in drawer, or from the booking on Reservations.

Why does it ask for passport and visa details?

Your hotel keeps the police register (Form C) for foreign guests. Fill them in under Guests (police register); check-in cannot finish without them.

Check-in says "This property registers every guest's ID".

The hotel's policy has Guest ID required on. Enter the main guest's ID type and number under Check in › Registration, then confirm again.

Check-in says the guest has not checked out yet.

The booking already has a stay in house. Use the stay's own actions (move, extend, check out) rather than checking in again.

"ID and passport numbers cannot be saved right now."

Save the check-in without the number and contact support, as the message says.
