  1. Raise a quotation. It stays visible as outstanding until won or lost.
  2. Convert to a sales order on acceptance.
  3. Issue a challan and dispatch the goods.
  4. Convert to an invoice. Outstanding moves from delivery to receivable.
  5. Receive payment and settle. Ageing updates.

Procure to pay

  1. Raise a purchase quotation or go straight to an order.
  2. Receive against the order so short deliveries are visible.
  3. Match the supplier invoice to what was received.
  4. Post the payable, then pay and settle.

Handling a return

  1. Raise the return against the original invoice.
  2. Goods come back to stock, or to quarantine if unsaleable.
  3. A credit note is raised, so the receivable reduces with a trail.
  4. Refund or offset against the next invoice.
