Check these in order
| # | Cause | What you see | What to do |
|---|---|---|---|
| 1 | The product is locked | It is missing on every document and from Stock status | Unlock it (Lock a product) |
| 2 | Its Inventory type is for the other side | A product marked Purchase is missing on sales lines; one marked Sales is missing on purchase lines | Change the Inventory type to Both (Stocked items, services and fixed assets) |
| 3 | The line's Warehouse has a product list | Only some products show for one warehouse; all show for another | Open the Warehouse mapping tab and add the product to that warehouse (Product mapping and warehouse mapping) |
| 4 | It is the Cancel product | Never offered on lines | The Cancel product in Configuration stands in for cancelled invoices and is hidden on purpose (Company settings that change selling) |
| 5 | The list is cut off | Nothing shows after one letter, or the right product is not in the list | The list needs at least two letters and shows the first matches only (about 100 on sales and purchase lines, 60 on some others). Type more of the name |
| 6 | The name was typed differently | The search finds nothing | The search looks for each word you typed in the name, the Product SKU and the part number. Remove a word, or search by SKU |
The product shows but cannot be used
| You see | Meaning |
|---|---|
| "Negative stock not allowed." or "Stock is going to be negative." | The warehouse holds less than the line takes, and the Negative stock setting blocks or warns (Negative stock: where Penahak checks it) |
| Insufficient stock balance (on a transfer) | The From warehouse holds less than the quantity (Move stock between warehouses with a stock transfer) |
| It asks for serial numbers or batch details | The product is tracked (Batch, expiry date and serial number tracking) |
Common questions
I just added the product and it is not on the invoice.
Check its Inventory type (it must be Sales or Both for a sale) and the warehouse's mapping. A new product is not locked.
It is on the invoice for one warehouse and not for the other.
The second warehouse has a product list. See number 3 above.
We use one warehouse and still products are missing.
Look for the Warehouse mapping of that warehouse: even a single mapped product hides all others.
