What it does
Not every business needs every field. Entry control lets the accountant choose, for the Sales screens, which optional fields appear and which are required.
Open Entry control (page title Entry control setting page), choose Entry type = Sales, and the list shows each control with two ticks:
- Enable: the field is shown on the sales screens.
- Required: the field must be filled to save. Ticking Required also ticks Enable; clearing Enable clears Required.
Press save. The other entry types (Purchase, Voucher, Inventory, Product, Production, Others) work the same way for their own screens.
The sales controls
The list on screen uses the system's own control names. This table says what each one does.
| Control | What it controls on the sales screens |
|---|---|
| Agent | The Agent field on documents |
| Sub ledger | The Sub ledger field |
| Project/Business Unit | The Project/Business Unit field (Branches and projects on sales documents) |
| Currency | The Currency field |
| Notes | The Notes field; make it required to force a note on every document |
| Reference voucher no, Reference voucher date | The customer's own bill number and date on the invoice |
| Order no, GDN no, Quotation no | The links to an earlier document on the invoice, delivery note and order |
| Warehouse | The warehouse choice on the lines (Which warehouse a document line uses) |
| Sales delivery location, Dispatch date, Expiry date | Those fields where the screen has them |
| Collection mode | The Sales collection mode field |
| Hide product code, Hide product group, Hide warehouse | Hides that column in the lines of the invoice |
| Clean Data After Ledger Selection Change | On by default: changing the customer on an invoice clears the lines and the receipt details, so figures never belong to the wrong customer |
| By pass amount and day limit block in sales order | When off, a sales order that breaks the customer's credit limit is blocked instead of only warned about (Credit limit and credit days on sales screens) |
| By pass negative stock block | Lets a sales order line go past the stock balance (Negative stock: where Penahak checks it) |
A field is Required, yet some documents were saved without it.
Required is a rule of the entry screens: it stops a clerk saving the form without the field. Data brought in another way, such as an import, is not checked against it.
