How bills reach the IRD, and what to check when one does not

A saved invoice is queued and sent a moment later. Anything that did not get through is sent again automatically, and the accountant can send it by hand. The Materialized view report shows what reached the IRD.

What happens, step by step

  1. You save an invoice, a return, or cancel an invoice
    Who
    Sales clerk or accountant
    What changes
The document is saved first. If your company's IRD setting is on, it is then queued to be sent.
  2. The bill is sent
    What changes
A moment later the system sends the bill with your company's IRD details. The IRD answers.
  3. A bill that failed is tried again
    What changes
Every so often (normally about once an hour) the system looks for invoices and returns that have not reached the IRD and sends them again. A cancelled invoice's credit note, or a reversed return, is sent again only when you press IRD data synchronization on the IRD API screen, which sends everything that is waiting.
  4. The bill shows as sent
    What changes
In the Materialized view report its Sync with IRD column changes from No to Yes.

Credit notes follow the same steps: a Take goods back with a sales return and a Cancel an invoice are sent as credit notes that name the invoice.

What decides when it is sent

  • Real time. On an invoice, a return, a cancel and a return reversal saved on screen, the sending is queued straight away.
  • Retry. A scheduled retry sends invoices and returns still marked No. This is how invoices made by a recurring invoice and returns approved from a provisional return reach the IRD: they are not queued when they are made.
  • Never. If your company's IRD setting is off, nothing is queued and the retry does nothing.

When one does not arrive

CheckWhereIf it fails
Is the company's IRD setting on?Ask Penahak supportIt is switched on by Penahak, not by you
Is the IRD record filled in, with PAN, user name and password? The IRD API screen (Set up IRD for your company)Fill it in, then use IRD data synchronization
Does the active fiscal year have a Fiscal year IRD name?Fiscal yearAdd it; selling is blocked without it
Does the invoice date fall inside a fiscal year that has an IRD name?Fiscal yearA bill whose date has no such year is left out of the report and cannot be sent
Is Sync with IRD still No an hour after saving?Materialized view reportPress IRD data synchronization. If it stays No, collect the bill numbers and ask Penahak support
Was the invoice cancelled?Materialized view report, Active columnA cancelled invoice shows Active N; its credit note is sent separately and is not a row of the report. The schedule does not retry a credit note of a cancel, so after a day with cancels press IRD data synchronization once: it sends only what has not been accepted yet

Common questions

The bill shows Sync with IRD = No. Was it lost?

No. The invoice is saved in your books whatever the IRD answers. It is only waiting to be sent. Wait for the next retry (about an hour), or press IRD data synchronization on the IRD API screen.

Can I send one bill again by hand?

IRD data synchronization sends every bill still marked No, not a single one. A bill already accepted is never sent twice.

We changed the IRD password. What now?

Edit the existing record on IRD API with the new password; do not add a second record. Then press IRD data synchronization so the waiting bills go with the new password.

A customer has no PAN. Does the bill still go?

Yes, without the buyer's PAN. Enter the PAN on the customer, or on the invoice for a walk-in buyer, whenever the buyer gives one.

Do quotations, orders, delivery notes or receipts go to the IRD?

No. Only invoices, sales returns, cancelled invoices (as a credit note) and reversed returns are sent: see What IRD-ready means.

Why is a cancelled invoice still in the list?

Every invoice number must stay accounted for. A cancelled invoice stays as a row with Active N and zero amounts; the IRD receives the cancel as a credit note: see Cancel an invoice.
