Sales areas and agents

An area groups customers by place. An agent is a salesperson or collector. Both tag sales documents and show in the reports; an agent can be tied to a login so the user sees only that agent's customers.

Areas

An area is a name for a place or territory: a district, a market, a route. Give a customer an Area on the customer screen and its sales carry that area. Reports can then be read by area, for example the customer ageing by area.

The Area screen is a short list: a Name and Active. If your company made Area, City and Address required in Configuration, a customer cannot be saved without them.

Agents

An agent is a person who sells or collects. The Agent screen (menu Agent) holds:

FieldMeaning
NameThe agent's name
TypeSales, Purchase or Both (Purchase and Sales). Only Sales and Both agents are offered on sales screens
Telephone, mobile, email, PAN, addressContact details
Parent agentThe agent this one reports to
Agent login userThe user whose sign-in this agent represents
ActiveSwitch off an agent who has left

How agents behave on a sale

  • Choosing a customer on the invoice fills the Agent field with the customer's own agent. The clerk can change it where the company allows.
  • The Agent field is shown on sales documents when the Agent control is enabled in Entry control (it can be made required): see Entry control: which fields the sales screens show.
  • A user who is tied to an agent as the Agent login user searches customers of that agent only. Turn on Make party free from agent in Configuration to let every user search all customers.
  • The customer ageing report can be read by agent, and an agent sees the customers under them and their sub-agents.
