VAT, rounding and the kind of invoice

VAT is one of the bill's adjustments, worked out on the VAT-applicable lines. The company can round the total to the whole rupee. A bill over Rs 9,999 is always a tax invoice; a smaller one is an abbreviated invoice unless the cashier switches to Tax invoice.

How the totals are built

The totals of the bill show:

  1. Sub total: the sum of the lines' Net amount.
  2. Each bill adjustment the company has set up, in its order: for example a bill discount, then VAT. Each shows its rate and its amount.
  3. Bill total: the sub total with the adjustments.
  4. Round-off: only when the company rounds the till's totals.
  5. Total: what the customer pays.

VAT is worked out on the lines whose product is VAT applicable. A product marked VAT inclusive is priced with its VAT: the till takes the VAT out of the price for the line and adds it again as VAT, so the customer pays the shelf price (Find and add products).

Rounding

The company's Roundoff setting (in Configuration, tab Sales) is Floor, Ceiling, Round-off (to the nearest rupee) or none. With a setting, the Total is a whole number of rupees and Round-off shows the difference. Cash starts at the rounded total, so the change is worked out on it.

Tax invoice or abbreviated invoice

The total isThe invoice is
Over Rs 9,999Always a tax invoice. The switch shows Tax invoice and cannot be changed
Rs 9,999 or lessAn abbreviated invoice, unless the cashier moves the switch to Tax invoice before saving

Use Tax invoice when the customer needs a full tax invoice for a small bill. Both kinds are invoices in Penahak Accounting and, when your company follows the IRD rules, both are sent to the IRD (IRD-ready invoicing at the till). The receipt is headed Abbreviated invoice or Tax invoice; a reprint says (copy of original ...) (Print the receipt and reprint a bill).

Common questions

The total ends in paisa although rounding is on.

The company's Roundoff is empty. Ask your accountant to set it in Configuration.

The switch will not move from Tax invoice.

The total is over Rs 9,999: a bill that size is always a tax invoice.

Which invoice does the IRD get for a small bill?

The same invoice, whatever the kind: see IRD-ready invoicing at the till.

Does the discount lower the VAT?

Yes. VAT is worked out on the net amounts, after the line discounts, of the lines that carry VAT.

A product is marked VAT inclusive. Does the customer pay more?

No. The till takes the VAT out of the price for the line and adds it again as VAT, so the customer pays the shelf price (Find and add products).

What happens to the rounding difference in the books?

It goes to the Round Off income ledger when it adds and to the Roundoff expense ledger when it takes. Set both: a bill whose rounding needs a ledger that is not set is refused (Configuration settings the till uses).
