What the till does for the IRD
- Every bill is an IRD-ready invoice: a number from the branch's series, the date and time of the sale, the buyer, the VAT.
- The kind of invoice follows the total: over Rs 9,999 a tax invoice, below it an abbreviated invoice unless the cashier chose a tax invoice (VAT, rounding and the kind of invoice).
- When your company follows the IRD rules, the system sends each bill to the IRD a moment after it is saved, and each sales return as a credit note (Sales return: take goods back). The cashier does nothing.
- A bill the IRD did not accept straight away is sent again on its own. The accountant can also send everything that is waiting.
- The date of a bill is always the day it is saved, so a bill can never be dated outside the day it was sold.
The report of what reached the IRD, how to send what is waiting, and what to check when a bill does not arrive are in the Accounting help, in its IRD section. They apply to POS bills exactly as to invoices made on the Accounting screens.
What the shop must have set
- The company's IRD details, and a Fiscal year that covers today (the Fiscal year screen fills the year's IRD name with its own name when it is left blank). The till does not check the year: a bill dated in no fiscal year is saved but cannot be sent.
- A customer's PAN on the customer when the buyer wants it on the invoice. A walk-in bill has none.
Common questions
Does a held bill, a draft or a quotation go to the IRD?
No. Only saved bills and returns.
A bill shows "not sent" in the IRD view.
It is waiting. It is sent again on the next run, or the accountant presses the manual synchronization in Accounting.
Can the cashier choose not to send a bill?
No. Sending follows the company's IRD setting.
We added the new fiscal year late. What happens to the bills we saved before?
A bill dated in no fiscal year is saved but cannot be sent to the IRD. Ask your accountant to add the year on Fiscal year, then to send the waiting bills again.
