What you see
The bill is an invoice at once. The receipt for the money follows a moment later, in Receipt voucher in Penahak Accounting, with the bill number as its reference. A bank charge shows as a journal. A refund of cash on a return shows as a payment voucher (Sales return: take goods back).
The receipt is made by the system, not by a person, and is approved when it is made.
What is made from each payment
| Payment on the bill | What Accounting gets |
|---|---|
| Cash | A receipt: cash ledger debited, the customer credited. One receipt per bill for the cash ledger |
| Bank or wallet | A receipt: the chosen bank debited, the customer credited. One receipt per bank |
| Gift card | A debit note: the gift card account debited, the customer credited |
| Bank charge | A journal: the bank charge expense debited, the bank credited |
| Cash refund on a return | A payment voucher: cash credited, the customer debited |
| Loyalty points spent, return credit used in a replacement | Nothing: they lower the bill itself |
What must exist for it to work
The receipt, payment, debit note and journal each take a number from a numbering series. For each of them Document numbering needs a series for the same branch as the bill, active, covering today. Without it the payment waits and nothing is lost; make the series and the payment is booked on the next run (Numbering series the till needs).
Common questions
The invoice is in, but I cannot find its receipt.
Wait a few minutes, then look in Receipt voucher for the bill number. If it is not there after an hour, ask your accountant to check the receipt numbering of the branch.
The receipt is in a different bank from the one the cashier chose.
It should be the chosen bank. Check the bill's bank on the receipt and tell support if they differ.
Why is a bank charge a journal?
Because it is an expense of the shop, not money received from the customer.
Do I make the receipt myself?
No. The system makes it a moment after the bill is saved, and it is approved when it is made.
A cash refund on a return shows as what?
A payment voucher: the customer is debited and cash credited. If it is missing a few minutes later, tell your accountant, who makes it by hand and tells support the return number (Sales return: take goods back).
Does a loyalty discount or a return credit used in an exchange make a receipt?
No. They lower the bill itself, so nothing is paid and nothing needs a receipt.
