Issue gift cards, print them and reprint one

A gift card batch has a value, a price, an expiry and a number of cards. Saving it makes the cards, each with its own number. Printing the batch locks it; a single card can be reprinted later.

Issue a batch of cards

A gift card batch is one description, one value and one price for many cards.

  1. Open the screen
    Who
    Supervisor or accountant
    Where
Gift Card > Card Issue (screen Gift card issue)
    What changes
The list shows each batch: Description, Paid amount, Discount amount, Equivalent amount, Expiry days, No of card, Last date to sale, Printed and Active.
  2. Add a batch
    Where
    Add
    What changes
Fill Description, Expiry days, Last date to sale, Paid amount, Equivalent amount, No of card, Active. Equivalent amount is what the card is worth when it is spent. Paid amount is what the customer pays for it. The difference is shown as the Discount amount. Every value must be above 0.
  3. Save
    Where
    Save
    What changes
"Gift card saved successfully". The cards exist, each with its own number that starts with GCP.
  4. Print the cards
    Where
The print button of the row > "Do you want to print?"
    What changes
The cards are printed on the design of Gift card design (Design the gift card). The row is now Printed and the batch can no longer be edited or deleted.

Until it is printed, a batch can be edited (more cards are added, or the extra cards are removed) or deleted.

Reprint one card

Gift Card > Card Reprint (screen Gift card re-print) lists the cards: Description, Card number, Expiry days, Last date to sale, Sales date, Equivalent amount and Used amount. Filter by description or card number and press print on the row to print that card again.

When a card can be sold and used

  • Sold: the card is active, not yet sold, and today is not after its Last date to sale (Sell a gift card and pay with one).
  • Used: the card has been sold, is active, is not past its expiry (the sale date plus Expiry days) and has a balance.

Common questions

I need more cards in a printed batch.

A printed batch is locked. Add a new batch.

I made a mistake in the value of a printed batch.

It cannot be edited. Do not sell the cards, and ask support.

When does a card's expiry start?

On the day it is sold, not on the day the batch is made: the sale date plus Expiry days.
