Save the bill: Sales/Print

Sales/Print asks for optional notes and saves the bill with or without printing. The bill gets its number, becomes an invoice and takes its stock out in one step. A refusal saves nothing.

For Cashier

Save the bill

  1. Press Sales/Print
    Who
    Cashier
    Where
    POS Sales > Sales/Print
    What changes
The button is on once the total is above 0. A small window Sales/Print opens with Notes and the question "Do you want to sale?".
  2. Type a note if you want one
    Where
    Notes
    What changes
The note is kept on the invoice (for example the customer's name for a gift).
  3. Choose how to save
    Where
    Save and print, Save, Close
    What changes
Save and print saves and prints the receipt. Save saves without printing. Close goes back to the bill.
  4. See the result
    What changes
The message "Transaction has been saved successfully with bill no: ..." shows the bill number. The screen clears for the next bill and a held bill that was recalled is removed.

A second press of the button while the first is working is ignored, so a bill is never saved twice.

What the save does

In one step the system gives the bill its next number, records it as a sales invoice in Penahak Accounting, takes the goods out of the shop's stock, adds loyalty points and uses up gift card balance when they were part of the bill. The date and time of the bill are the system's date and time, not the till computer's. The payments reach the books a moment later (When the payments reach the books); with the company's IRD setting on, the bill is queued to the IRD (IRD-ready invoicing at the till).

If the screen refuses, nothing is saved: fix what the message says and press Sales/Print again (Messages you may see).

What happens when you save a bill
AreaChange
Invoice and IRDA sales invoice with the next number of the branch's series, dated now. With the company's IRD setting on, it is queued to the IRD (IRD-ready invoicing at the till)
CustomerA walk-in bill goes to the walk-in account and is paid at once. A named customer's bill goes to their account; anything not paid stays owed (Sell on credit to a named customer)
Cash and bankA moment later each payment line is recorded in Accounting: a receipt for cash and for each bank, the gift card account for a gift card (When the payments reach the books)
StockThe goods leave the branch's default warehouse at once (Quantities, units and the stock limit)
Loyalty and gift cardPoints spent are taken off and points earned are added; a gift card's balance is used (Spend points on a bill: the loyalty adjustment policy, Sell a gift card and pay with one)
Cash drawerThe cash taken, less the change, counts toward your hand over (Hand over the cash at the end)

Common questions

The bill saved but the receipt did not print.

The bill is safe. Check the printer, then Reprint bill with the bill number (Print the receipt and reprint a bill).

I saved by mistake.

A saved bill cannot be changed or deleted at the till. A mistake is corrected by a sales return (Sales return: take goods back) or, for an unpaid bill, by the accountant in Accounting.

Which date is on the bill?

The system's date and time at the moment you save.

Can I save a bill when the connection to Penahak is down?

No. A bill is saved only when the till reaches Penahak. If the save fails, the screen shows the error and the bill stays on the screen, so it does not have to be typed again.
