Before you start
- The seven numbering series are active for each branch and cover today. Receipts, payment vouchers, debit notes and journals wait without a series for the bill's branch (Numbering series the till needs, When the payments reach the books).
- The fiscal year is active and has its IRD name. The till does not check it: a bill dated in no fiscal year is saved but cannot be sent to the IRD (IRD-ready invoicing at the till).
- Round Off income ledger and Roundoff expense ledger are set when the company rounds. Without them a bill that needs rounding is refused (Configuration settings the till uses, Which account each part of a bill goes to).
- Default bank is set, and each card machine or wallet has its own bank ledger if you want them read apart (Which account each part of a bill goes to).
- The branch has its own Cash ledger when each shop must keep its cash apart (Which account each part of a bill goes to).
- Settings and series
Check that the numbering series are valid for today, and that the fiscal year and its IRD name are in place (Numbering series the till needs). On the first day of a year add the seven series first.
- Receipts and refunds
Look at Receipt voucher for the bills of the day: each bill's receipt follows a moment after the bill. A bank charge is a journal; a cash refund is a payment voucher (When the payments reach the books). Check that each cash return of the day has its payment voucher; make a missing one by hand and tell support the return number (Sales return: take goods back).
- Customers who owe
Customers who bought on credit have an unpaid or part-paid invoice. Receive their payments in Accounting (Sell on credit to a named customer).
- Compare
Terminal sales against the cash and bank receipts of the day (Terminal sales and branch sales, Where POS bills show in Accounting).
- The IRD
When the company follows the IRD rules, check the Materialized view report for bills not yet sent (IRD-ready invoicing at the till).
- Accounts to watch
The Anonymous customer balance (it should be zero unless a return was kept as credit), the Giftcard ledger (cards sold and not yet spent), the Roundoff ledgers (What a saved bill writes in the books and in stock, Which account each part of a bill goes to).
End of the day
- Terminal sales for the day agree with the cash and bank receipts of the same day, once every payment has reached the books (Terminal sales and branch sales, Where POS bills show in Accounting).
- Each cash return of the day has its payment voucher. If one is missing, make it by hand and tell support the return number (Sales return: take goods back, When the payments reach the books).
- No gaps in the day's bill numbers, except bills that were refused (Where POS bills show in Accounting).
- A credit customer who paid their balance today has a receipt made in Accounting against the invoice: the till cannot take the balance (Sell on credit to a named customer).
- The Materialized view report shows no bill of the day still waiting for the IRD (IRD-ready invoicing at the till).
- A shortage or an excess on a hand over is not in the books. Make a journal if the shop wants it there (Hand over the cash at the end).
Common questions
A receipt is missing for a bill.
Check the branch's receipt, payment, debit note and journal series first (When the payments reach the books).
The cash book is lower than the till's cash.
Some payments are still waiting for their receipt, or cash refunds have been paid out (Terminal sales and branch sales).
