The seven series
Each series belongs to a module. Create them on Document numbering (menu Document Numbers), one for each module, for each branch, active, with start and end dates inside the active fiscal year.
| Module | The till's name for it | Numbers |
|---|---|---|
| Sales invoice (SB) | Sales Document Number | Every bill, and every gift card sale and replacement |
| Sales return (SR) | Sales Return Document Number | Every sales return |
| Receipt voucher (REC) | Receipt Document Number | The receipts made for cash and bank payments |
| Payment voucher (PAY) | Payment Document Number | The payment vouchers made for cash refunds on returns |
| Debit note (DN) | Debit Note Document Number | The entries made for gift card payments |
| Journal voucher (JV) | Journal Voucher Document Number | The journals for bank charges and for gift card sales |
| Cash bank voucher (CB) | Cash Bank Document Number | Required by the till's check; the receipts and payment vouchers take their numbers from REC and PAY |
What goes wrong without them
- At the till: with one missing for the branch, POS Sales stops and lists it (Open the till and accept the cash).
- When it ends: the first bill after the series' end date is refused, because the series no longer covers today.
- Receipts missing: if only REC, PAY, DN or JV is missing or ended for the bill's branch, the bill saves and its payments wait until the series exists (When the payments reach the books).
Common questions
The till lists "Receipt Document Number not set" but receipts have a series.
The series is for another branch, ended, or lies outside the active fiscal year. Check its dates and branch.
The first bill of the new year is refused.
No series for the new year yet. Add the seven series; the bill can then be saved again.
Can next year's series keep this year's prefix and suffix?
No. Two series cannot be identical, so next year's series needs a different suffix (for example the year) or a different prefix.
