Where POS bills show in Accounting

A POS bill is a sales invoice, so every Accounting report that reads sales sees it. This page says where to look for the bill, its receipt, its return and its stock, starting from the bill number on the receipt.

Start with the bill number

The number on the receipt is the invoice number. Everything else follows from it.

Checks an accountant can make at the end of the day

  1. Terminal sales for the day against the Cash and Bank receipts of the same day in Accounting. They should agree once every payment has reached the books.
  2. The invoices of the day against the numbers of the bills: no gaps in the series, except bills that were refused.
  3. Returns of the day against the cash handed over.
  4. The Anonymous customer balance: it should be zero unless a return was kept as credit (Sales replacement: exchange goods).

Common questions

The IRD view is missing a POS bill.

Check the bill's date against the fiscal years on Fiscal year: a bill whose date falls in no fiscal year cannot be sent to the IRD. Ask your accountant to add the year, then send the waiting bills again.

The day's cash in Accounting is lower than Terminal sales.

Some payments are still waiting for a receipt: see When the payments reach the books.

I have the receipt of the bill. Where do I find the invoice?

In Sales Invoice: the number on the receipt is the invoice number.

Where do I see the customer's balance after a credit sale?

On the customer's statement in Accounting. A walk-in's bills are on the Anonymous customer account, which is at zero when every bill was paid in full and no return was kept as credit.
