How a bill moves from the till to the books

The retail POS is the till screen of Penahak. A saved bill is a sales invoice in Accounting at once, the goods leave stock at once, and the payments reach the books a moment later. Nothing is typed twice.

The idea

The retail POS is the POS Sales screen: a fast till for a shop. A cashier scans or searches the products, optionally picks a customer, takes the payment and presses Sales/Print. The bill is a sales invoice in Penahak Accounting from that moment: the goods leave the shop's stock, the customer (or the walk-in) owes the total until the payment is booked, and the receipt prints. The shop and the accounts never need to be matched by hand, because there is only one set of books.

A till is a computer that runs the Penahak POS desktop app next to the receipt printer. The app tells Penahak which terminal this computer is, and prints the receipt.

One bill, step by step

  1. Open the till
    Who
    Cashier
    Where
    POS Sales
    What changes
The screen checks the terminal and the shop's settings, then asks the cashier to accept the cash in the drawer (Open the till and accept the cash).
  2. Build the bill
    Who
    Cashier
    Where
POS Sales > the barcode box, Search Product, the customer menu
    What changes
Each scan adds a line. Discounts, VAT and rounding are worked out as lines are added (Find and add products, Discounts and adjustments on the bill, VAT, rounding and the kind of invoice).
  3. Take the payment
    Who
    Cashier
    Where
Cash, Bank/Wallet Payment, Gift card, Loyalty discount card
    What changes
The payment lines must cover the total, except for a named customer who is allowed to buy on credit (Take the payment: cash, bank and wallet, Sell on credit to a named customer).
  4. Save
    Who
    Cashier
    Where
Sales/Print > Save and print or Save
    What changes
The bill gets its number, becomes a sales invoice and takes its goods out of stock. The receipt prints (Save the bill: Sales/Print).
  5. The payments reach the books
    Who
    Nobody: it happens by itself
    What changes
A moment later each payment becomes a receipt (cash into the cash ledger, bank or wallet into the chosen bank). A gift card payment and a bank charge become their own entries (When the payments reach the books).
  6. Hand over the cash
    Who
    Cashier and supervisor
    Where
    Terminal cash
    What changes
At the end of the day the cash taken is counted and handed over (Hand over the cash at the end).

Questions customers ask

Do I have to enter the bill in Accounting as well?

No. A saved bill is already a sales invoice in Penahak Accounting, the goods have already left the stock, and the receipt follows by itself. There is one set of books, so the shop and the accounts never need to be matched by hand.

The invoice is in Accounting but I cannot see its receipt yet.

The receipt follows a moment after the bill. Look in Receipt voucher for the bill number; if it is still missing after an hour, ask your accountant to check the branch's numbering (When the payments reach the books).

Does the hand over at the end change the books?

No. It is the shop's own control of its cash drawers: the cash is counted and handed to a named person, and nothing is posted to Accounting (Hand over the cash at the end).
