Before you start
- Each terminal that will sell today has its float on Petty cash. The date is always today, there is one float per till per day, and a float can be changed or removed until the cashier accepts it (Petty cash: the float for each till).
- The day's schemes and loyalty policies are running, with their dates and Active switched on. Keep both loyalty policies (earning and spending) running, or no points are earned (Schemes: running discounts on products, Loyalty policy: how customers earn points, Spend points on a bill: the loyalty adjustment policy).
- The shop has a Secret key, and only supervisors know it. Without a key nobody can delete a line (Configuration settings the till uses).
- Your own role has Is this a supervisor role ? switched on: it gives you Void/Reset and puts you on the Handover to list (Who may do what: roles, scopes and the supervisor role).
- You have decided who may sell on credit. The till only asks the cashier to type the word Credit (Sell on credit to a named customer).
- Give each till its float
Enter the petty cash of each terminal on Petty cash before the cashiers open their tills (Petty cash: the float for each till). Check the day's schemes and loyalty policies are running (Schemes: running discounts on products, Loyalty policy: how customers earn points).
- Help a till that will not open
A message at the till names what is missing. Use Set up a shop for the retail POS: checklist and Problems by symptom (Open the till and accept the cash).
- Approve what needs approving
A credit sale needs your word (Sell on credit to a named customer). A cashier who deletes a line needs the shop's Secret key (Quantities, units and the stock limit). Only you see Void/Reset (The POS Sales screen).
- Decide the refund
A return is allowed on any day, so the shop's own policy decides. Choose Cash or Non-Cash with the cashier (Sales return: take goods back, Sales replacement: exchange goods).
- Look at the sales
On Terminal cash › Terminal sales see what each cashier took, by payment method (Terminal sales and branch sales).
- Check the hand overs
Each cashier hands over their own cash on Terminal cash. Look at the excess or less each recorded (Hand over the cash at the end).
End of the day
- Terminal cash › Terminal sales for each till: cash, each bank or wallet, gift card and loyalty discount, by cashier (Terminal sales and branch sales).
- Every cashier who sold has handed over their own cash. A cashier who leaves a hand over open cannot open a till on a later day until they finish it (Hand over the cash at the end).
- Look at the excess or less each hand over recorded. Follow up a cashier whose difference repeats two days running.
- Look at the returns and the credit sales of the day. Neither the Rate link nor the Discount link asks for an approval, so the day's bills are your check (Discounts and adjustments on the bill).
- Tell the accountant about each cash return, so a missing payment voucher is noticed (When the payments reach the books).
