What a paid bill creates
When the cashier presses Confirm Payment, the bill becomes an invoice in Penahak Accounting:
- One sales invoice for the whole check, numbered from the branch's sales numbering and dated today.
- The payment as a receipt in Accounting: cash goes to the cash book, card and QR to the bank.
- The items that leave stock (see What leaves stock when a bill is posted).
- The closed check in the restaurant: the table becomes Needs Cleaning and the receipt prints.
The guest is a walk-in unless you pick a customer on the bill (Bill a customer on account (Due sale)).
Where the figures on the bill come from
Under the subtotal, the bill panel lists the bill terms that apply, one line each, for example service charge, VAT, discount and round-off. They are not set in the Restaurant POS: they are the sales bill terms of Penahak Accounting, the same ones the retail till uses. The restaurant never has a second set of rates.
| Line | Where it is decided |
|---|---|
| Item amounts | The product's price in Accounting, the quantity, any modifier add-on (on the dish's own invoice line), any product discount. A complimentary dish is on the invoice at zero |
| Service charge | A bill term of Accounting that adds an amount |
| VAT | The VAT bill term. It is worked out only on items that carry VAT, after their share of discount and service charge. A complimentary item carries no VAT |
| Discount | A bill term that subtracts; the Discount tab changes its rate for this bill |
| Round-off | A round-off term; the bill rounds up, down or to the nearest rupee as the terms say |
| Tip | Not a line of the bill: typed below the total and paid with it, kept in Tips payable (Bill the table and take payment) |
Common questions
Why does the bill total differ from the sum of the items?
Because of the lines under the subtotal: service charge, VAT, discount and round-off. A tip is not in the bill's total: it is shown below it. See Problems by symptom.
Can the invoice be changed after payment?
No. A mistake is corrected by a return of the items on the same day (Sales Return: give back items of a paid bill), and a new bill.
Is every bill an IRD invoice?
Every bill is a sales invoice in Penahak Accounting. Invoices are IRD-ready and follow your company's IRD setting.
The VAT is worked out on less than the whole bill. Why?
Only dishes that carry VAT enter it, and they enter after their share of the discount and the service charge. The mineral water carries no VAT, so it adds nothing to the VAT line, although it takes its share of the discount and the service charge.
Is a small bill a different kind of invoice?
Penahak marks a bill of Rs. 9,999 or less as abbreviated (the short form). Every bill, small or large, is a sales invoice in Accounting, IRD-ready, following your company's IRD setting.
