Shifts: the shift, its roster, employees and overrides
A shift has a name and code; its roster gives start and end times, weekends and breaks for a date range and a branch; employees are mapped to a roster; an override changes one day or one weekend for one employee.
Attendance can only be judged against a shift. Four tabs of Attendance setting build it, in this order:
Tab
What you enter
Shift
The shift's name and Shift code, for example "Morning"
Shift management
A roster: the Shift, the Branch, the Start date and End date, and for each Day the Start time and End time, the Weekend days and the Shift break times
Employee shift
Which employees follow a roster: Employee map (one) or Employee map bulk (many)
Shift override
A change for one employee: Shift day override (another shift for one date) or Shift weekend override (different weekend days)
Set up a shift
1
Add the shift
Who
HR officer
Where
Attendance setting › Shift › Add
What changes
Enter the shift name and Shift code.
2
Build its roster
Where
Shift management › Add
What changes
Pick the shift, the branch and the dates. Give each day its Start time and End time; mark the Weekend days; add Shift break times. The screen refuses a missing weekend ("Please select weekend."), an invalid time ("Please enter a valid shift time.") or an invalid break ("Please enter a valid shift break time."). Two rosters of the same shift in the same branch cannot cover the same dates.
3
Map the employees
Where
Employee shift › Employee map or Employee map bulk
What changes
Choose the roster and the employees. An employee cannot be in two rosters that overlap in dates: the screen says "Selected employee are already in another shift." When no shift or branch is chosen it says "Shift not selected." or "Branch not selected."
4
Override when needed
Where
Shift override
What changes
Choose the employee, the date (or the weekend days) and the shift to use. The employee must already be mapped to a shift on that date.
