The idea
Attendance and leave are counted inside an attendance year, which is separate from the accounting fiscal year. Two settings come first:
- The company's Attendance configuration: the limits that decide when a day counts as late or absent.
- The Attendance year, split into its months (called periods).
Attendance is a part your company licenses. If you do not see Attendance setting or Leave management setting in the menu, or the Attendance configuration tab on the Company page, the part is not switched on for your company.
Company attendance configuration
On the Company page (Company setting), open the Attendance configuration tab.
| Field | What it does | Limit the screen enforces |
|---|---|---|
| Maximum absent hour to consider full day absent | A day short by at least this many hours counts as a full day absent | Less than 8 |
| Maximum absent hour to consider half day absent | A day short by at least this many hours counts as a half day absent | Not more than 4 |
| Grace checkin minutes and Grace checkout minutes | Minutes of lateness or early leaving that are forgiven | Not more than 60 |
When a box is over its limit the screen clears it and shows the message ("Value should be less than or equal to 8" and so on). Press Save to keep the changes.
The tab also has Maximum leave accumulation, Minimum work day to apply leave, Multiple shift, Multiple break, Allow back date request and Allow location capture. Penahak keeps what you enter, but in this release these do not change how attendance or leave is worked out: do not rely on them to block or allow a request.
The attendance year
Open Leave management setting (Attendance › Leave management) and the Attendance year tab.
- Add the year
- Choose whether to carry leave forward
- Make it the active year
A new year cannot overlap an existing one, and its end must be after its start. Requests, leave rules and holidays are all tied to the year, so add the next year before its first day.
Common questions
Where do I see the effect of the absent-hour limits?
On the Monthly attendance summary report, in the columns Full day absent punishment and Half day absent punishment. They count the days whose shortfall reaches the limit. The Missed status on the attendance sheet follows the grace minutes only.
Why did the screen clear the number I typed?
It is over the limit the screen allows: under 8 for the full-day limit, not more than 4 for the half-day limit, not more than 60 for each grace. The screen clears the box and shows the message; type a value inside the limit and press Save.
Does the shortfall use the grace minutes?
No. The shortfall is the whole of the minutes late in plus the minutes early out. The grace minutes only decide whether the day shows Missed.
