Extra income and deduction: one-off items, PF loan, medical discount, previous income

Anything that is not part of every month's pay goes here before the pay run: a bonus or a one-off deduction, a PF loan installment, earnings based on days present, a medical tax discount, and income from a previous employer.

The idea

Extra earning/deduction (Payroll › Other income/deduction) is where the payroll officer enters what is specific to a month or a person. Enter it before the pay run: the pay run picks up what is entered and not yet paid, then marks it paid so it is not paid twice.

The tabs

TabUse it for

Enter a one-off income or deduction

  1. Open the tab
    Who
    Payroll officer
    Where
Occasional income or Occasional deduction > Add
    What changes
The Occasional income setup page opens.
  2. Choose what and when
    What changes
Choose the Payroll item type, the Payroll item, the Period, and if you want to narrow the list the Department and Designation.
  3. Give each employee an amount
    What changes
For each listed employee choose Based on (a percentage of salary, of salary and grade, or a fixed amount) and the Value.
  4. Save
    What changes
The entries wait until the pay run for that period.

An entry can be edited or deleted until it is paid. Once the pay run has used it, it shows as paid and cannot be changed; deleting the payslip frees it again (Run the month's payroll).

PF loan deduction

Add the employee, the Amount and the Informed date. The amount is taken from every pay run from then on, until you delete the entry. It is shown on the payslip as PFLoanAmount.

Medical tax discount

Enter the employee, the Medical bill amount and the Tax relief amount they claim. The pay run gives the discount against the tax, up to the Medical tax discount limit in Payroll configuration for the year, and never more than the month's tax. Till relief amount shows what has been given so far. In a month when any employee has a medical tax discount, check the tax line of every payslip before approving, and tell support if an employee without a discount shows one.

Previous income

For an employee who joined from another employer part way through the year, enter for that fiscal year the Salary, PF, Gratuity, Taxable allowance, Other income, and what was already taken: Less CIT, Less PF, Remote tax less, Social security tax and Income tax. Penahak adds these to the year's income and takes the tax already paid into account.
