Before you start
- Look at Current shift on your profile or the User dashboard. Punches from a person with no shift on that weekday are ignored, so if it is empty ask HR to map you to a shift (How attendance is recorded, Attendance quick views: shift, attendance detail, leave balance, birthdays).
- Look at Leave summary on your profile for the days you have, before you ask for leave (Ask for leave).
- If you work late, ask for the overtime. It is paid only when it was requested and approved (Overtime: request, approval and payment).
- If the profile says your data is not complete, ask HR. Only the Profile tab opens until HR has finished it (My profile: leave, payslips, loans and my own records).
- Punch in
Use the attendance device. If you forgot, or the device was down, ask HR to enter the day, or add it yourself if you have the permission (Manual timesheet).
- Check your day
Open the User dashboard for your shift, late entries and next payslip date, or Attendance › Attendance detail for the month's days (Attendance quick views: shift, attendance detail, leave balance, birthdays).
- Ask for leave
Profile › Apply leave: choose the type, the dates and who should approve. Penahak checks your balance at once (Ask for leave).
- Ask for overtime
Overtime is paid only when it was requested and approved (Overtime: request, approval and payment).
- Office visit
Ask for an office visit so the days are not counted absent (Office visit requests).
- Advance
Profile › Advance › Advance loan request (Ask for, approve and issue a loan or advance).
- Your payslip
Profile › Payslip information › View (Reading a payslip).
- Grievance
Record it on Grievance (Grievances).
End of the day
- Punch out as well as in. With one punch Penahak uses it as both the check-in and the check-out, so the day shows as Missed (How attendance is recorded).
- If you did not punch at all that day (you forgot, or the device was down), tell HR. If you have the manual attendance permission you can add the day yourself on the Manual attendance tab of your profile. A day that already has attendance recorded cannot be added again (Manual timesheet).
- If you were on duty away from the office, check that an office visit request exists for those days, so they are not counted as absent (Office visit requests).
- A request that is still Pending is with your approver. An overtime or office visit request that is not yet decided can be withdrawn (Overtime: request, approval and payment, Office visit requests).
- After payroll is approved, your payslip appears on Payslip information (Reading a payslip).
Common questions
I punched but my day shows absent.
Check you have a shift for that weekday, and that the device sent your punch. Ask HR to look at Attendance detail for your name (How attendance is recorded).
I cannot ask for a leave type.
Your job type has no days for that type this year. Ask HR to add the leave rule (Set up leave types and rules).
The request says I have too many days.
The days you ask for are more than this year's days and your balance together (How leave works: types, rules, balance and carry-forward).
I cannot see my payslip.
The month is not approved yet, or your login is not linked to your employee record (My profile: leave, payslips, loans and my own records).
Can I take back a leave request?
Yes, until the leave starts, with Withdraw on Leave request details.
