The idea
Overtime is paid only when it was requested and approved. The path is:
- Request
- Approve
- Pay
You can follow each request on Overtime request details (Attendance › Overtime request) and Withdraw one that is not yet decided. After approval a supervisor can undo the approval from the dashboard; do it only before the pay run, and check with payroll first that the overtime has not already been paid.
What the screen refuses
- An end date before the start date ("End date must be greater than the start date!").
- More than 480 minutes a day ("Overtime can not exceed 480 minutes.") or more than the company's Max overtime hour in a day from Payroll configuration ("Requested overtime duration exceed maximum valid overtime per day.").
- Dates outside the active attendance year, or overlapping another live overtime request of the same employee.
Bank overtime
What the overtime pays
The pay comes from the Overtime remuneration rule the supervisor chose (Human resource settings): a fixed amount for each day, or a rate worked from the employee's basic salary. The first time you use each rule, work out one example by hand and compare it with the Overtime line on the payslip after you run payroll.
| Step | What changes |
|---|---|
| Requested | The request waits for the supervisor named in Requested to |
| Approved | The supervisor's remuneration rule is stored and the amount to pay is worked out at once; it waits for the next pay run |
| Rejected or withdrawn | Nothing is payable |
| Approval undone | The approval and the amount to pay are removed; do this only before the pay run |
| Pay run | The amount is added to the employee's payslip and marked paid |
Common questions
The overtime amount looks wrong.
The amount depends on the remuneration rule the supervisor chose. Work one example by hand with your accountant, and tell support if the payslip differs.
Overtime is missing from the payslip.
It was not approved, it was marked Bank overtime, or it was approved after the pay run. Approved overtime is picked up by the next pay run.
Can an employee ask for more than eight hours a day?
No. The form refuses more than 480 minutes a day, or more than your company's Max overtime hour in a day.
