Sales orders
An order commits no money, so CRM only warns on orders, with one exception: when your company's order settings block over-limit orders (in Accounting, Entry control > By pass amount and day limit block in sales order switched off), the order screen always blocked them, so the order is blocked when saved too, and a release can let one through. Orders have no credit-days rule.
Sales quotations
Accounting's sales quotation is not checked when it is saved. (CRM has no quotations of its own.)
POS bills
Retail and restaurant POS bills to a named customer are checked like invoices. What is received with the bill is its payments less the change given back, plus loyalty points redeemed; only the rest is on credit. A bill paid in full is never checked, nor is a bill to the cash book or a cash selling customer.
Recurring invoices
Recurring invoices are raised from their templates with nobody at a screen. Each one goes through the same check as a sale made on a screen:
- Allowed: raised as usual.
- Blocked: not raised. A Pending release request is made in the name of the template's user, naming the template, at most once a day. Approvers are not notified: it waits in the Credit Desk's Release queue. Once approved, the next run raises the invoice on it.
- The check cannot run: not raised this time; the template is tried again on the next run.
Hotel city ledger
When a hotel bills a folio to a company's city-ledger account at check-out, Penahak Hospitality reads the company's position the same way. If the company would go over its city-ledger limit (or its Accounting credit limit, when the action is not Ignore), or it is on credit hold in CRM, the check-out needs a manager's approval instead of being blocked. This works whether or not CRM is on, because it reads Accounting and the hold directly.
Other ways of saving
Any other way of saving a sales invoice, delivery note or order goes through the same check. With Stop credit-blocked sales on save off, those saves go through, and the sales entry screens show a block as a warning you can pass (CRM settings and what each one does).
Common questions
Why can I not ask for a release from the POS?
The POS has no credit dialog and no Request credit release. A blocked POS credit sale must be paid now, or the customer's limit reviewed.
A recurring invoice was not raised.
If the customer is blocked, a Pending release request waits on the Credit Desk and nobody is notified. Once it is approved, the next run raises the invoice. If the check could not run, the template is tried again on the next run.
The hotel billed our company and was not blocked.
A hotel check-out to a company's city ledger asks for a manager's approval instead of blocking, when the company is over its limit or on credit hold.
