Save a credit sale: what you see

The sales invoice, delivery note and order screens check the customer's credit before saving. If all is well the document saves; a warning asks you to confirm; a block stops the save and offers a credit release. The sale is checked again as it is saved.

For Sales staff Credit controller

This is what you see on the Sales invoice, Goods delivery note (challan) and Sales order entry screens when CRM is on. For POS bills and recurring invoices see Which sales are checked.

  1. Fill in the document and press Save
    Who
    Sales staff
    Where
The sales invoice, delivery note or order entry screen > Save (or save and print)
    What changes
The screen checks the exact document against the customer's credit first. A second Save click, or Ctrl+S, while this runs is ignored, so the document cannot be saved twice.
  2. All is well: the document saves
    What changes
No dialog. This is the usual case: within terms, paid in full now, or a cash ledger.
  3. Warning: read, then continue
    Where
The dialog Credit warning for the customer
    What changes
"Check before you save: the customer is outside their credit terms. You can still save after reviewing the figures below." Press Continue and save, or Back to invoice (challan, order).
  4. Blocked: the save stops
    Where
The dialog Credit blocked for the customer
    What changes
"This sale is outside the customer's credit terms. Take payment now, reduce the amount, or ask a credit approver to release this sale." There is no save button. Request credit release opens the request (Credit releases: ask, decide, use).
    Needs
To go on: take payment now (a sale paid in full is never blocked), reduce the amount, or have a release approved and save again.
  5. Blocked while enforcement is off: read, then continue
    Where
The dialog Credit warning for the customer
    What changes
With Stop credit-blocked sales on save off in CRM settings the sale would be saved anyway, so the screen shows the block as a warning: "Credit enforcement is switched off in CRM settings, so you can still save." The reasons still read as a block. Continue and save saves it (CRM settings and what each one does).
  6. A release covers it
    Where
    The dialog Credit release applies
    What changes
"Credit release CRL-... covers this sale. An approver released it for this customer. It is marked as used when you save." The button reads Save using CRL-....
  7. The sale is checked again as it is saved
    What changes
If it passes, the document is saved, and the release (if any) is marked Used by it at the same moment. If the customer's position changed in between (another sale, a hold), the save is refused and nothing is saved.
  8. Refused on save
    Where
The Credit blocked dialog, headed The server stopped this save
    What changes
It shows the reason and the refreshed figures. If the new figures no longer block: "The customer's position has changed since this save was tried. Save again to check it once more."

What the dialog shows

  • The reasons, each labelled Over credit limit, Past credit days or Credit hold, with a sentence that names the figures.
  • The figures: the invoice (challan, order) amount, Paid now, Balance before, Balance after, Credit limit, Headroom, Oldest unpaid bill, Credit term, Credit hold. For a foreign-currency document the local amount is shown with the entered amount and the rate. Where limits are kept per business unit: "Limits are kept per business unit; figures are for this document's business unit."
  • Releases that do not fit: "Approved release CRL-... does not cover this sale. It is for X; this sale needs Y." or "It is for a sales order.", with its end date.
  • Requests already made: "You already asked for a release for this customer", with each pending request and "Once it is approved, save again and it is applied automatically."

When the first check cannot answer

If the screen cannot get an answer from the CRM credit check before saving (for example the connection drops), it falls back to its own credit rule, using the figures it loaded when you picked the customer, under the heading Credit check unavailable ("The CRM credit check could not be reached, so this screen's own credit rule was applied. The server checks the sale again when you save."). If the document is not one CRM checks (for example the ledger is not a customer), the heading is Checked with this screen's credit rule. Either way, the sale is still checked as it is saved.

Common questions

The dialog has no save button.

That is a block. Read the reasons in the dialog. Take payment now, reduce the amount, or press Request credit release and have an approver decide it on the Credit Desk. Then save again: the approved release is applied by itself.

Can I save twice by pressing Save again?

No. While the check runs, a second Save or Ctrl+S is ignored.

I pressed Continue and save. Is the warning recorded anywhere?

No. A warning is only for you to read: nothing is stored, and the invoice is saved as usual.

The dialog shows two amounts for a foreign-currency invoice.

The check works in local currency. The dialog shows the local amount, with the amount you entered and the rate.

The dialog lists a reason I do not understand.

Each reason is labelled Over credit limit, Past credit days or Credit hold, with a sentence that names the figures. Compare them with the customer's Amount limit and Day limit in Accounting (Customer details in Accounting that CRM uses).
