A day as accountant

Keep Accounting's data right (receipts approved and linked to bills, credit terms, due dates) and use CRM's receivables and statements, which match the ledger.

For Accountant

  1. Approve waiting receipts

A receipt counts in CRM only once it is posted. Approve waiting receipts so that balances, bills and promises are right (Customer details in Accounting that CRM uses).

  2. Link receipts to bills

Name the bills a receipt pays. Receipts on account settle the oldest bills in CRM's ageing (Where the money figures come from).

  3. Statements

Customer 360 > Statement of account: print or export it for any range (Customer 360 and the statement of account).

  4. Receivables

Receivables > Ageing by customer, agent or area. The line "The ageing ties to the customer ledgers." proves it matches the books (Receivables: ageing and expected cash).

  5. Credit terms

Amount limit, Day limit and their actions on the customer in Accounting; mark cash selling customers. CRM follows at once (Customer details in Accounting that CRM uses).

  6. Compare with the books

CRM's totals match the ledger. If a figure differs, check the date, branch, advances, currency and switched-off customers (CRM figures differ from the ledger report).

  7. Correct it in Accounting

A credit note or a correction in Accounting; the dispute is then closed in CRM (Disputes, renewals and recoveries).

Before you start

End of the day

  • Receivables › Ageing, with no search, says "The ageing ties to the customer ledgers." If it shows a difference, send your Penahak contact the date, a screenshot of the line and the export (Receivables: ageing and expected cash).
  • A dispute the customer is right about is corrected in Accounting (a credit note, or a corrected invoice), and the dispute is then closed in CRM (Disputes, renewals and recoveries).
  • A write-off is made in Accounting. Written off on Collections only closes the CRM work (The Collections desk).
  • At month-end, compare CRM with the ledger report for the same date and branch, allowing for advances (CRM figures differ from the ledger report).

Common questions

The customer paid, but CRM still shows them owing.

Nearly always the receipt is still waiting for approval, or it was posted to another customer (Customer details in Accounting that CRM uses).

Why does a bill show overdue too early?

The invoice was saved with fewer due days than the customer's terms, or with no due days: without a due date, the invoice date is the due date (Customer details in Accounting that CRM uses).
