Check these in order
| Check | CRM | The other report |
|---|---|---|
| Date | As of today (Customer 360: "Figures as of"; statements: the range you chose) | The report's own date or range |
| Branch | Customers, Customer 360, My work, Receivables: all branches. The credit check: the sale's branch | Often one branch |
| Advances | Owed by customers and Receivables add only customers who owe; advances are shown apart | A total of all customer ledgers nets advances off |
| Currency | Local currency (NPR) for everything, with the entered foreign amount shown beside it | Some reports show the invoice's currency |
| Switched-off customers | Counted while they have money on the books | Counted too (the ledger, ageing and trial balance include them) |
| Receipts waiting for approval | Not counted until posted | Not in the ledger either; a receipt list may show them |
| Cancelled invoices | Left out | Left out of the ledger; a sales register may list them |
Differences bill by bill
- Receipts on account. A receipt that names no bill settles the oldest bills in CRM's ageing. The receipt screen's list of due bills, or a bill-wise report, may still show a bill as open. The totals agree (Where the money figures come from).
- Unbilled debit. A debit journal, or an opening balance without bills, shows as "not due" in CRM's ageing. A bill-wise report has no bill for it.
- Due date. CRM ages from the invoice's due date; an ageing by bill date gives other buckets.
Sales figures
| Figure | Counts |
|---|---|
| Sales in the month (My work) | Every sales invoice of the month that is not cancelled, cash and credit |
| Credit sales this period (Collections) | What invoices that are not cancelled left owing (less what was paid with them at the counter), for customers that are not cash ledgers; a cash mark plays no part |
| Sales of the last 90 days, and days sales outstanding | Invoices to customers in the last 90 days |
| Revenue this year | Invoices less returns that are not cancelled, by Accounting's fiscal year |
Months follow your company's calendar (BS months for a company on the Nepali calendar), which can differ from a report by AD months.
Prove it
- Receivables > Ageing, with no search: the line says "The ageing ties to the customer ledgers.", or shows the difference (Receivables: ageing and expected cash).
- Customer 360 > Statement of account for one customer and range, beside Accounting's ledger report for the same customer, range and all branches (Customer 360 and the statement of account).
- If a difference remains after all of the above, send your Penahak contact the customer, the date, both reports and the figures (Problems by symptom).
Common questions
CRM's months do not match my report's months.
Months follow your company's calendar: a company on the Nepali calendar closes its month on the last day of the BS month, which can differ from a report by AD months.
Do cancelled invoices count in CRM?
No. A cancelled invoice is left out of CRM and out of the ledger. A sales register may still list it.
