What happens and why
| You see | Usually | What to do |
|---|---|---|
| No Add button on a sales screen | The branch has no active series for that kind of document inside the active fiscal year, or the role lacks the permission | Add the series on Document numbering (Create and manage numbering series) |
| The first document of a new year is refused with a message that the numbering has expired | No series for the new year, or its dates do not cover the document's date | Add the new year's series, or correct the dates (Fiscal years: create, activate and prepare the next one) |
| Every sales screen says the financial year "has already been closed" | The new fiscal year was made active before its start date (adding a year on the Company setting tab always makes it active) | Make the previous year active again until the day, or correct the dates on Fiscal year |
| A jump between two numbers | A saved document was deleted, or the two numbers come from two series (two branches) | Not a fault. Check Last document of each series |
| A repeated number, or a refusal that the record already exists | The counter has grown past the Body length, so the number is cut and can match an old one | Raise the body length (up to 7) on a new series; do not reuse the old one |
| You changed Current no and the numbers did not move | Current no on a saved series does not move the counter | Add a new series that starts where you want |
| Two series for one kind of document in a branch | The Add button opens a list to choose from | Switch one off if only one is wanted |
How to check
Open Document numbering, filter by Module code and Branch, and read Last document, Start date, End date, Start no, End no and Status of each series. The series in use is the active one whose dates include the document's date and fall inside the active fiscal year.
Common questions
The Add button opens a list of two series. Which do I choose?
The list shows the name of each series in capital letters. Choose by name. If only one should be used, switch the other off on Document numbering.
Does a refused save use up a number?
No. A save that is refused does not take a number, so it leaves no gap. A gap usually comes from a saved document that was later deleted, or from two series (two branches, two counters).
