Countries, provinces, districts and cities

The address lists feed the address boxes on customers, suppliers and other forms. Keep them as short as you need: a country, its provinces, their districts and the cities.

The four lists

The address lists page has four tabs. A form with an address asks for Country, Province, District and City in that order, and each box offers only what belongs to the country or province chosen before it (the City box follows the province).

TabHoldsFields on its form
CountryThe countriesCountry (required, up to 100 characters), Active
ProvinceThe provinces of a countryCountry and Province (both required), Active
DistrictThe districts of a provinceCountry, Province, District (all required), Active
CityThe citiesCountry, Province, District (optional) and City (required), Active

Use the + button on a tab to add, the row's edit button to change and its delete button to remove (you are asked to confirm). Each tab can be filtered by name.

The separate State screen (route /states) lists the same provinces with Name and Country and lets you add, edit and delete them. Use whichever you find first; they keep the same records.

Rules

  • A province or a district cannot repeat an existing name. The system also gives each a short code from its name and refuses a repeat of that (Messages you may see).
  • Delete removes the row for good. A row that customers, suppliers or other records already use cannot be deleted: the system refuses it, and you can set it Inactive instead.
  • An inactive entry is not offered on new forms; old records keep it.

Common questions

Can I add a city from a form that asks for an address?

No. The Province, District and City boxes on a form (a transport company's, for example) only offer what the lists hold. Add the province, district or city on the address lists page first, then choose it on the form.

A province is refused and I never added it.

The name, or the short code the system makes from it, is already used by another province. Use another name. A district is refused the same way (Messages you may see).

The city I need belongs to a district that is not in the list.

Add the district first on the District tab, then add the city on the City tab with that district chosen.
