Reports and drilling down to source documents

Finding the report you need, and getting from a total to the transaction behind it.

Penahak ships more than 150 reports. The useful skill is not knowing all of them — it is knowing how to get from a number you do not believe to the document that produced it.

Drill-down

Every total in a Penahak report traces to a source document identifier. From a summary figure you can open the detail, and from the detail you can open the actual invoice, receipt, voucher or stock movement.

When a figure looks wrong, drill rather than recalculate. The discrepancy is almost always a specific document with a specific cause.

The report families

  • Basic accounting — balance sheet, profit and loss, cash flow, trial balance, day book, journal book, general ledger with sub-ledger, bank reconciliation.
  • Sales and purchase — invoice detail and summary, analysis, month-wise summaries, targets versus achievement, and outstanding at quotation, order and challan level.
  • Stock — status, ledger, analysis, adjustments, transfers, landed cost, serial-number-wise inventory, expiry and breakage.
  • Ageing — customer, vendor and product.
  • Payroll and attendance — register, payslips, attendance summary, late entry by month.
  • Production — bill of material, production journal, raw material consumption, finished goods costing.
  • Compliance — VAT summaries, audit trail, backup and restore.

Exports and scheduling

Reports export to Excel, CSV and PDF, and heavy reports are generated by the background job server so they do not block the people using the application. Summary reports are backed by materialised views, which is why they return quickly over large date ranges.

Dashboards

For daily monitoring rather than analysis, use the dashboard widgets: cash and bank balance, weekly collection and payment, leave, and recent activity.
