Bill terms: VAT, service charge and discounts

The formula engine that puts tax, service charge and discount lines onto a bill.

Bill terms are how Penahak calculates everything that is not a line item: VAT, luxury tax, service charge, discounts and other charges. They are configured separately for sales and for purchase, and they are shared by POS, restaurant and hospitality so a charge is treated the same wherever it originates.

How a term is defined

Field What it controls
Description How the line is labelled on the document.
Category What kind of term it is.
Basis What the term calculates on — the amount it applies to.
Rate The percentage or value.
Sign Whether the term adds to or subtracts from the bill. A discount and a tax differ here.
Formula For terms that are not a simple percentage of a single basis.
Is VAT term Marks the term as VAT, so it feeds the VAT summaries and statutory output.
Is luxury tax term Marks the term as luxury tax.
General ledger Which ledger the term posts to.
Product-wise Whether the term is applied per product rather than on the bill total.
Affects profitability Whether the term is treated as affecting margin.
Affects stock valuation Whether the term is absorbed into stock value — important for purchase-side terms.
Display order The sequence terms are applied and printed in. Order changes the result when one term calculates on another.
Editable Whether a user can change the value at entry.

Getting the order right

Display order is not cosmetic. If service charge is calculated before VAT, and VAT’s basis includes service charge, the sequence determines the tax. Set the order to match how your tax treatment actually works and test it on one document before going live.

Mark VAT terms as VAT terms. The flag is what routes the amount into the VAT customer and vendor summaries used for the return. A term that calculates correctly but is not flagged will produce a correct invoice and an incomplete return.
