Check-in, KYC and deposits

Getting a guest into a room with the right records attached.

The flow

  1. Open today’s arrivals.
  2. Select the reservation and click check-in.
  3. Confirm guest identity and complete the KYC fields your property requires.
  4. Assign a clean, vacant room.
  5. Collect the deposit, or record the deposit reference if it was taken earlier.
  6. Enter key count and registration details.
  7. Confirm.

Returning guests

Returning guests are recognised by phone, email or profile. Linking to the existing guest record rather than creating a new one keeps stay history, preferences and any company relationship intact — and keeps the party master clean.

Deposits

A deposit is money received before the service is delivered, so it posts to the advance or deposit ledger rather than to revenue. It is applied against the folio at checkout. This distinction matters for both your P&L and your tax position.

Room readiness

You cannot check a guest into a room that housekeeping has marked dirty, out of order or out of service. If reception is blocked here, the fix is in Housekeeping or the Room Rack, not in overriding the check-in.

What check-in creates

Check-in creates the stay and opens the folio. From this point the guest can be charged — restaurant, minibar, laundry, spa, transport — and every charge lands on that folio.
