Reservations, walk-ins and the tape chart

Booking a guest before arrival, and handling one who simply turns up.

Creating a reservation

  1. Click New reservation.
  2. Select the property, arrival and departure dates, room type, and the specific room if it is known.
  3. Enter guest name, phone, email, source and any reference number.
  4. Choose a rate plan or package.
  5. Review availability and the rate quoted.
  6. Record a deposit due or a deposit taken, if your policy requires one.
  7. Save.

Booking statuses

A reservation moves through tentative, confirmed, waitlist, checked in, no-show and cancelled. Each transition is recorded, so you can see who changed dates, rates or rooms and when.

The tape chart

The tape chart shows rooms down one axis and dates across the other. Use it to see availability at a glance, drag a booking to another room or another date, and spot the gaps that stop you selling a run of nights.

Walk-ins

A walk-in is for a guest who arrives without a booking, and it is optimised for speed:

  • Click Walk-in.
  • Pick a clean, available room.
  • Enter name and phone.
  • Confirm check-in.

The system still creates the guest, stay and folio records; the remaining detail can be completed later. Reception should be able to do this in under a minute.

Room assignment

Rooms can be assigned at booking or left until check-in. Leaving assignment late gives you more flexibility to optimise occupancy, but means the tape chart shows the room type rather than a specific room.
