Petty cash

Recording small cash movements so they do not surface as an unexplained shortage.

Cash taken out of the drawer for small expenses has to be recorded, or it appears at shift close as a shortage nobody can explain.

Recording petty cash

A petty cash entry captures:

  • Amount.
  • Date in Bikram Sambat.
  • Transferred to — who received the cash.
  • Branch.

There is a separate handover step, so responsibility for petty cash can be passed on and recorded in the same way drawer cash is.

Practical advice

  • Record the movement at the moment the cash leaves the drawer, not at the end of the shift.
  • Keep the receipt and reference it in the entry.
  • Reconcile petty cash on the same cadence as the till, not monthly.

Petty cash paid out is taken into account when expected cash is compared with the declared count at shift close.
