Penahak now runs hotels, restaurants and retail on one ledger.
Penahak
Module

Accounting & Finance

A double-entry core with a real chart of accounts, fiscal-year control and logged corrections. Every sale, folio, payroll run and stock movement in Penahak resolves to a source document here.

The problem

The financial engine every other module posts into.

This is not a reporting layer that reads from other systems. It is the ledger those systems write to. When a cashier rings up a sale, when a hotel guest checks out, when payroll is posted, the resulting document is created here, with its tax treatment, its dimensions and its audit trail attached.

Who uses it

  • Accountants and finance managers, who own the chart of accounts, posting and reconciliation
  • Business owners, who read the balance sheet, P&L and cash position
  • Auditors, who need to trace any figure to a source document
How it works

The workflows you will actually use

Not a feature list — the sequences your team runs day to day.

Closing a month

  1. Reconcile each bank account against its statement.
  2. Review the day book for anything posted to a suspense or default ledger.
  3. Check receivable and payable ageing for balances that should have cleared.
  4. Confirm stock valuation ties to the stock ledger.
  5. Run the trial balance, then the balance sheet and P&L.

Correcting a saved invoice

  1. Open the invoice and confirm what is actually wrong.
  2. With IRD on, raise a sales return (or cancel it the same day); with IRD off you may edit it, and the edit is logged.
  3. Issue a corrected invoice where one is needed.
  4. The return or cancel names the original invoice and records the reason.

Setting up a new ledger

  1. Create the ledger under the right group so it rolls up correctly.
  2. Set its type, opening balance and any sub-ledger behaviour.
  3. Map it to the transactions that should post to it — bill terms, tax terms, settlement.
  4. Post one test transaction and check it lands where you expect.
Capabilities

  • Current and post-dated cheque (PDC) processing

Connected, not integrated

What it shares with the rest of the platform

These are not integrations between separate products. They are modules on one ledger, one party master and one product catalogue.

Retail POS

Each counter bill is a sales invoice the moment it is saved, and its payments become receipts a moment later.

Hospitality

Each folio produces one sales invoice at checkout, with tax and service charge, billed to the guest or the company.

Inventory

Stock is valued first in, first out; profit and closing stock are worked out from the stock entries when the reports run.

HR & Payroll

An approved pay run posts the salary journal: wage expense, deductions, loan recoveries and net pay payable. Check the first month’s journal against the payslips.

Questions

About Accounting & Finance

Yes. Masters and opening balances are imported during implementation and the opening trial is reconciled against your previous closing balance before you begin transacting.

Until it is approved, reconciled with the bank or its year is locked. After that it is corrected with a new voucher, and edits are logged with the user.
